The main difference between ITL and a regular hire company, is that with prayer you decide on the level of reimbursement you are able to offer. With a hire company, money is what helps keep people accountable. With ITL, we rely a whole lot on the integrity, transparency and the WWJD attitude of the borrowers.
No ministry likes to 'lay down the law', but in the past verbally saying it hasn't gotten through to some people. Over the years there has been much broken gear as well as many broken promises, so now, there's no excuse :). These 'rules' are just common sense really and a lot less small print than if you commercially hired equipment. You can only imagine the stress it causes when gear is meant to be back, but is not, and the next group turns up to get it for their event. This ministry runs on no fixed amount of income, but has large fixed and variable costs. So having equipment which is broken, often because of laziness, puts a huge strain on volunteers time and of course our credit cards !
Your responsibilities are : Either you or your representative to be punctual with collection and returns. (If you are more than half an hour late without notification, another appointment will have to be made). To look after the equipment (as if you had left a blank cheque with a hire company !). Only allow suitably capable people to use the equipment (it could not only be costly, but deadly). Insurance is the borrowers responsibility, any broken or lost gear must be paid for by the borrower.
From now on, any group who is late, either for picking up or returning the gear, or who has been a bad steward with the ITL resources, they will be questioned. If they borrow gear again and the same thing happens, then their Pastor will be contacted. If it happens a third time, then they will be blacklisted for a set time. If the borrower doesn't keep up with their obligations, then please DON"T BLAME US.
We are in ministry, so we are aware that volunteers are often used, so we are flexible. But in the past we have been bent past breaking point. If you are someone who struggles with accountability, then please either find some one else to organize the equipment, or you may like to go and commercially hire - this will mean there will be automatic financial accountability.
